Step 5 - Preview and Modify Before Importing
By this stage of the import process, Author-it has pre-processed your document, and is ready to import it into your Library. The Preview screen lets you:
- See and change which styles will be applied to paragraphs and text.
- See how your imported document will be broken into topics, in the tree view.
- Change the structure of the topics.

The Preview shows both the original formatting (without the rules applied) and the formatting that Author-it will use (with the rules applied). A bit like those "before and after" advertisements we see in many magazines.
- Select
to edit the rules in the profile, or right-click and choose Edit Rules from the shortcut menu. Use this option to change the sequence of the rules, or to add further rules to the profile. - Select
to edit the settings in the profile, or right-click and choose Edit Profile from the shortcut menu. Use this option to change the way graphics will be imported, or how new objects will be created. - Select
to toggle the display between how the document appears with or without the rules applied. Alternatively, right-click and choose Apply Rules.
When formatting has not been picked up by the existing rules, you can easily create new rules. These new rules can be saved with the profile later, and used to import further similar documents.
To Create New Rules at Preview:
- Select
so that the style mapping is disabled and the original formatting of the document is shown. - Right-click on the text to display a shortcut menu.
- Choose Create New Rule. A submenu shows the attributes found. Select the further submenu, and choose the style you wish to be applied for that type of formatting.

- Select
again, to return to the Preview with the style mapping enabled. You will notice your changes immediately. - This action creates a temporary rule (new rule) which can be saved in the profile at the end of the import.
To Change the Structure of the Topics:
- From the tree on the left, select the topic you want to move.
- From the Import Preview toolbar, choose one of the options:
to move the topic earlier in the document.
to move the topic later in the document.
to promote the topic to a higher level in the tree.
to demote the topic to a lower level in the tree.
- Choose Next to import the document.
